- Ticket-volume pricing
Help desk software pricing is difficult to compare because providers charge for different units and different versions of the workflow. A low entry price may cover email ticketing but not live chat or a knowledge base. Another product may include several channels but charge by ticket volume or AI resolution.
The only useful total is the cost of the plan containing every required capability at the team's current size, next realistic size and busiest month. That calculation should include subscription, usage, implementation, onboarding, integrations and applicable VAT.

Per-agent and per-user pricing
Seat-based pricing is simple to calculate: multiply the selected plan by the number of people requiring paid access. The complication is role design. Some providers offer free viewers, collaborators or occasional passes; others require a full seat for anyone responding or using advanced features.
Model today's team and the next hiring point. A $19 plan costs $57 for three agents and $190 for ten before tax or extras. A move to a $55 tier changes those totals to $165 and $550. The upgrade tier can matter more than the entry plan.
Per-ticket and conversation pricing
Gorgias prices its main plans around monthly billable ticket allowances. This can be attractive when many staff occasionally need access, because higher tiers allow more users without a charge for every seat. The risk moves to volume.
Use real contact data and the provider's definition of a billable ticket. Model an average month and peak season. Include overages, automated resolutions and channel add-ons. A cheap low-volume plan is not representative of a busy store.
Free plans and trials
Zoho Desk supports three users on its permanent free edition, while HubSpot provides free service tools for two users. These can prove the value of ownership and history without subscription cost, but they limit advanced service capabilities.
Trials are different. HelpDesk offers 14 days without a card, Zendesk offers 14 days, Gorgias offers seven days and Freshdesk provides a trial. Record which tier the trial exposes; otherwise a team can design a workflow around features absent from the intended paid plan.
Annual versus monthly billing
Annual terms usually reduce the monthly equivalent, but may require a full-year commitment or upfront payment. Monthly billing provides a less expensive exit if product fit is still uncertain.
Use monthly terms or a trial through the validation period where possible. Choose annual billing only after the team has tested real tickets, confirmed integrations and exported data. The discount does not compensate for a product the team avoids using.
AI, credits and usage charges
AI pricing uses inconsistent units: resolutions, sessions, conversations, credits or agent add-ons. HelpDesk Essential includes ten AI resolutions monthly and sells additional resolution packs. Freshdesk includes an AI session allowance and lists paid extra sessions. HubSpot uses credits for automated features. Zendesk describes AI-agent pricing around successful outcomes.
For each product, record the included allowance, unit definition, refill or overage behaviour and whether unused allowance rolls over. Build a base case and a high-use case. Do not count predicted labour savings before the team has measured answer quality and handover.
Onboarding, implementation and integrations
HubSpot Professional has a required $1,500 onboarding fee. Other products may not charge a platform onboarding fee but still require internal setup time, migration work or a paid partner. Integrations can carry their own subscriptions or usage fees.
Include configuration, data cleaning, import testing, training, parallel running and documentation. A low-cost licence with a difficult rollout can have a higher first-year cost than a more expensive product the team can implement itself.
A total-cost worksheet
Calculate subscription seats or ticket tier; annual or monthly term; AI usage; voice, SMS or social usage; integrations; onboarding; migration; training; VAT; and a contingency for growth. Repeat the total for now, twelve months and a peak month.
Then divide the cost by supported customers or resolved tickets only as a secondary measure. The goal is not the lowest unit cost at any service quality. It is a predictable bill for a workflow the team can operate reliably.
Our verdict
Headline help-desk pricing is a discovery aid, not a budget. Zoho and HubSpot provide credible free starts, HelpDesk and Freshdesk begin at $19 per user or agent, Zendesk separates email ticketing from its full Suite, and Gorgias prices around ticket volume.
Build the comparison around the required workflow and next-stage team. The winning plan is the one with the clearest total cost and fewest expensive surprises—not automatically the lowest entry figure.

Frequently asked questions
Questions readers ask before choosing
How much does help-desk software cost?
Small-team products range from permanent free plans to entry paid tiers around £15 or $19 per agent each month on annual billing. Multichannel, advanced routing, reporting, onboarding and AI usage can raise the total substantially.
Is annual help-desk billing cheaper?
Annual billing usually lowers the monthly equivalent, but it creates a longer commitment and may require payment upfront. Complete a realistic trial and verify the required tier before accepting the discount.
What is per-ticket help-desk pricing?
Per-ticket pricing charges according to a monthly allowance of billable support conversations rather than only agent seats. It can suit teams with many occasional users, but demand spikes and overages make volume forecasting important.
Are AI features included in help-desk pricing?
Some plans include an allowance of AI sessions, resolutions or credits. Extra usage may be sold in packs or billed by successful resolution, so buyers should record the unit, allowance and overage price separately.
