Watch for

  • Overages and AI resolutions need modelling
  • Entry plan is email-only and has limited operations features
  • 7-day trial
  • Shopify-focused
  • Ticket-volume pricing

For most small teams, HelpDesk is the most focused place to start when a shared inbox needs proper ticket ownership, while Freshdesk offers the best-balanced move into structured ticketing. Choose Zoho Desk when cost and the wider Zoho ecosystem matter, Zendesk when the team expects more channels and operational complexity, HubSpot Service Hub when support needs the same customer record as sales and marketing, and Gorgias when Shopify order actions are central to the job.

There is no useful universal winner. A two-person team answering 30 emails a day has a different problem from a store handling delivery questions across email, Instagram and chat. Buying the bigger platform too soon creates configuration work and a larger bill; buying too lightly can force a second migration once ownership, service levels or reporting become important.

What this comparison is based on

We compared the providers' published plan scope, starting prices, stated limits and product documentation, then judged which trade-offs matter to a small UK support team. Treat the published prices as a shortlist aid, not a substitute for a quote for your team, region, billing term and add-ons.

The ranking favours a tool that solves the current queue without forcing an early tier upgrade. It does not award points for a feature a small team has no plan to staff or maintain. The practical evidence still has to come from your own pilot with real ticket types and the plan you intend to buy.

How to decide without overbuying

Write down four things before opening trials: the channels that need to enter the queue, the people who need to reply, the events that require escalation and the information an agent must see to answer well. This usually narrows the field faster than a 100-row feature matrix.

An email-first business should prioritise assignment, collision detection, internal notes, saved replies and search. A growing support operation is more likely to need ticket fields, multiple views, service targets, workload routing and custom reports. Ecommerce teams should check whether an integration merely displays an order or lets an authorised agent act on it.

Calculate the bill at today's headcount and at the next realistic hiring point. Per-agent tools become more expensive as the team grows. Gorgias reverses that model by charging around ticket volume, so seasonal demand and overages matter more than seat count. AI usage is often metered separately in either model.

For example, a two-person consultancy receiving mostly email should begin with ownership, collision prevention and export. HelpDesk is a focused paid candidate, while Zoho Desk is worth checking if a free entry tier is decisive. A five-agent SaaS team publishing answers and tracking service targets should compare Freshdesk Growth with the exact Zendesk package that includes its required channels and knowledge. A Shopify shop should estimate billable tickets during its busiest month before comparing Gorgias with a seat-priced help desk. Use these scenarios to identify the plan requirements that matter to your business.

HelpDesk: the focused small-team start

HelpDesk turns incoming messages into an owned queue without asking a small team to configure a large service platform. Essential costs $19 per user each month on annual billing, or $25 on monthly billing, and includes ticketing, automated assignment, canned responses, three ticketing rules, email, website chat, Messenger and SMS.

The 14-day trial requires no card and is long enough to test a real queue. Essential also includes a small AI allowance; extra resolutions are usage-priced, so teams expecting heavy automation should model that separately. Growth is a much larger price step and should be justified by its extra reporting, teams and AI allowance rather than treated as the default upgrade.

Choose it when: the team wants a clean move from shared email into ticket ownership, chat and basic automation.

Look elsewhere when: a permanent free plan, highly configurable routing or deep ecommerce actions matter more than a focused setup.

Freshdesk: the balanced ticketing choice

Freshdesk Growth starts at $19 per agent per month on annual billing. It includes ticketing, a shared inbox, customer portal, knowledge base, roles, permissions and out-of-the-box reporting. That combination covers the core of a conventional small-business help desk without immediately forcing the team into the highest tier.

The important distinction is between email-first Freshdesk and the separate omnichannel proposition. Confirm the exact channels in the plan you are pricing. Pro, at $55 per agent per month annually, adds intelligent routing, custom dashboards, multiple SLA policies and collaborators. Those are useful capabilities, but they substantially change the cost.

Choose it when: the team has moved beyond collaborative email and needs a proper ticket system with room to mature.

Look elsewhere when: the main requirement is a minimal shared inbox or a deeply specialised Shopify workflow.

Zoho Desk: a strong value route

Zoho Desk's free edition supports three users and provides an uncomplicated starting point for email ticketing. Its paid editions progressively add messaging, knowledge management, custom reports, telephony, round-robin assignment and more advanced automation.

The pricing page can display different currencies and editions, so UK buyers should set the correct billing currency and annual or monthly term before budgeting. The broader reason to shortlist Zoho is ecosystem fit: if customer and business data already lives in Zoho applications, the desk can be more useful than its low entry price alone suggests.

Choose it when: budget matters and the team will benefit from Zoho's wider application family.

Look elsewhere when: the team wants the simplest possible interface or needs to understand every future channel cost at a glance.

Zendesk: the clearer path to complex operations

Zendesk separates core ticketing from its broader Suite. Support Team costs £15 per agent per month when paid yearly and includes email ticketing, routing, prebuilt analytics, prepared responses, customer context and automations. Suite Team costs £45 per agent per month and adds the knowledge base, messaging, live chat, telephony and omnichannel routing.

That split matters. The headline entry price is attractive, but a team that needs self-service and several real-time channels should budget against Suite Team rather than Support Team. Zendesk becomes more persuasive when the operation expects specialised routing, multiple teams and a substantial app ecosystem.

Choose it when: support is likely to become a formal operation and the business wants a platform that can absorb that complexity.

Look elsewhere when: two or three people mainly need to share email and the extra configuration would go unused.

HubSpot Service Hub: best when support needs CRM context

HubSpot's free tools support up to two users and include core ticketing, a shared inbox and live chat. Starter is inexpensive, but the dedicated advanced help-desk capabilities are concentrated in Professional and Enterprise. Professional starts at $90 per seat per month on annual terms and carries a required one-time onboarding fee of $1,500.

The value is not the ticket queue alone. HubSpot can put marketing, sales and service history around the same contact. That is useful when a support conversation depends on the customer's wider relationship with the business. It is harder to justify if the company only wants a focused support inbox.

Choose it when: the business already uses HubSpot or wants one customer platform across revenue and service teams.

Look elsewhere when: support needs to stand alone and the Professional tier would introduce cost without enough cross-team value.

Gorgias: the ecommerce specialist

Gorgias prices its help desk by billable tickets. Starter costs $10 per month for 50 tickets and three users; Basic costs $60 for 300 tickets and adds live chat, rules and a help centre. Higher tiers increase volume and relax agent limits.

Its advantage is ecommerce depth. Shopify order information and relevant actions can sit inside the conversation, reducing the need to switch systems for routine delivery, return and order questions. The trade-off is a billing model that needs a realistic ticket forecast. Include seasonal peaks, overage charges and any separately billed AI resolutions.

Choose it when: support work is inseparable from Shopify orders, returns, subscriptions and ecommerce integrations.

Look elsewhere when: the business is not primarily ecommerce or support volume is too unpredictable to model comfortably.

A practical trial plan

Do not trial six platforms at once. Pick two that represent genuinely different approaches, then run the same small test in each.

  1. Connect a test support address and import or recreate 20 representative conversations.
  2. Assign work between at least two people and deliberately create a collision scenario.
  3. Set one routing rule, one saved reply and one escalation or response target.
  4. Create a short help article and check how a customer finds it.
  5. Produce the report the team would review each week.
  6. Export tickets and customer data so the exit route is understood before purchase.

Record which tasks were straightforward, which required a higher plan and which needed a third-party integration. That evidence is more useful than counting features the team may never use.

Our verdict

Start with HelpDesk when the problem is moving shared email into a focused owned queue, and with Freshdesk when the problem is already ticket operations. Zoho Desk deserves a place on cost-conscious shortlists. Zendesk is the strongest deliberate bet on future operational complexity. HubSpot wins only when its wider customer record is part of the requirement, while Gorgias should lead an ecommerce shortlist rather than a general one.

The right tool should make ownership obvious, preserve customer context and give the team enough structure to improve. If it requires a dedicated administrator before the queue is busy, it is probably too much software for now.

Match requirements to a documented plan

Our requirements-to-plan matrix separates published inclusion from unresolved suitability. Sources were revisited in September 2026. It is an editorial interpretation of public plan descriptions, not a measured performance score. A permission checkbox is not proof that the exact role restriction your business needs exists; a reporting checkbox does not promise the denominator or export you require.

Derivation: a two-person email and self-service team

Define the must-haves as two replying users, assigned email work, a customer-facing knowledge base and standard ticket reporting. No social channel, custom dashboard or bespoke permission model is required. Freshdesk Growth is a documented candidate because its plan summary includes that bundle. Zendesk Support Team fails the knowledge-base requirement; Suite Team is the first listed Zendesk route covering it. Zoho's Free email entry is not enough evidence for the full bundle, so examine Standard instead.

HelpDesk's source-management feature feeds AI knowledge; treating it as a customer help centre would be a category error. Keep that row unresolved rather than awarding it a capability not established by the source. HubSpot's free inbox does not establish Professional knowledge-base functionality. Gorgias Basic documents a help centre, but confirm standard reporting and user eligibility before accepting it as a complete match. This does not mean unresolved products lack the feature; it means this evidence does not close the requirement.

Derivation: five people needing custom reporting

Change only the reporting requirement to a dashboard the team can customise, and set five replying users. Freshdesk's published custom-dashboard step is Pro, so its five-seat annual base is 5 × $55 × 12 = $3,300, compared with Growth's 5 × $19 × 12 = $1,140. The $2,160 difference is a derived feature-upgrade cost, not a productivity measurement. AI, integrations and tax remain excluded.

For the other products, keep the exact report specification open until documentation establishes it. Zendesk's prebuilt dashboards do not automatically satisfy a custom-report requirement; nor does “advanced reporting” alone specify the metric you need. A shortlist can therefore include a known eligible tier and several pending evidence checks without pretending they have been fairly ranked on price.

A worksheet rule that prevents false winners

Give each must-have one of three states: documented on the selected plan, explicitly outside that plan, or unresolved. A candidate is eligible only when all must-haves are documented. Apply the no-minimum-seat commitment table to eligible plans, then use the total-cost calculator for the same twelve months of usage. Do not mark an unresolved capability as free, and do not convert dollars to pounds without showing the assumed exchange rate.

Frequently asked questions

Questions readers ask before choosing

What is the best help desk for a very small business?

HelpDesk is a focused paid starting point, while Zoho Desk and HubSpot provide credible free entry routes for very small teams. The better choice depends on whether you value simplicity, a permanent free tier or CRM context.

How much should a small business expect to pay for help-desk software?

Entry paid plans commonly begin around $19 or £15 per agent each month on annual billing. The practical bill can rise when a team needs live chat, a knowledge base, advanced routing, AI usage or more agents.

Is a shared inbox enough for customer support?

A shared inbox can be enough while volume is low and ownership remains obvious. A help desk becomes more useful when duplicate replies, missed messages, reporting, escalation rules or multiple channels create operational risk.

Should a small team choose an annual plan immediately?

No. Run a realistic trial first, confirm the exact plan containing the required features and test data export. Annual billing can reduce the monthly equivalent, but it also makes a poor fit more expensive to unwind.
