Six ecommerce support routes

A specialist ecommerce desk can save tab-switching and enable order actions. A general help desk may offer better reporting or lower costs when commerce integrations are not central.

The best ecommerce help desk software connects a customer conversation to the order, delivery and return information needed to resolve it. A general help desk can organise messages, but a specialist integration may also let an authorised agent refund, cancel or edit an order without moving between systems.

Gorgias is the strongest specialist choice for Shopify stores in this shortlist. HelpDesk offers a more focused and lower-complexity route for smaller shops. Freshdesk is the balanced general ticketing option, while Zendesk suits a larger multichannel retail operation. HubSpot makes sense when the customer journey spans marketing, sales and service. Zoho Desk is the value option, particularly within the Zoho ecosystem.

Our ecommerce shortlist method: define the action before the tool

For an illustrative Shopify store, separate three questions: can the agent identify the right order, can the agent perform the required action, and should that agent have permission to do so? A visible order card answers only the first. We distinguish documented actions from functions that still need evidence rather than treating every store integration as equivalent.

Primary-source action scope checked September 2026; this is a requirements screen, not a guarantee of every plan or permission configuration.
CandidateWhat the cited documentation establishesDecision still required
Gorgias with ShopifyOrder sidebar context; macro actions include cancellation, refund and order editingConfirm the particular order state, allowed action and agent permissions
Shopify for ZendeskCustomer/order context plus sidebar refunds and cancellationsConfirm eligible Zendesk package, app settings and action restrictions
Freshworks Shopify appAccess to recent customer orders; listed for Freshdesk and OmniThe listing alone does not establish the same refund/edit action set

See the Gorgias Shopify guide, Zendesk app listing and Freshworks app listing. This changes the shortlist: Gorgias is not the only documented route to an in-ticket refund, and a Freshdesk order-data connection should not be rejected or approved for refunds without checking the exact connector. HelpDesk, HubSpot and Zoho remain candidates for their queue or ecosystem strengths; their product names do not establish the same Shopify actions.

Write the required action precisely. “Handle returns” could mean sending the returns-policy link, generating a label, authorising a refund or updating stock. These are different workflows with different permissions and integrations. An action that works for an unfulfilled order may not meet a partially fulfilled or subscription-order brief. Our returns workflow and Shopify integration guide help separate those requirements.

Our seasonal budget: three agents, nine quieter months and three peaks

This fictional demand profile keeps three full agents throughout the year: nine months with 200 billable tickets each and three months with 900. It assumes email plus public help articles; chat, voice and AI are not included in the brief. Ticket counts mean the provider's qualifying billing events, not order count or every incoming message.

For a Gorgias configuration eligible for its documented billing example, the monthly help-desk line is $60 + $0.40 × max(0, tickets − 300). The billing help centre supplies those inputs; use the applicable contract rather than apply this rate to every tier. The current Basic user-count statements conflict in the plan guide, so a five-user expansion is not assumed eligible at the same base.

Support Sorted calculations at September 2026 source rates; USD, before tax, AI, messaging, integrations and internal effort. Fixed three-agent assumption.
Budget lineCalculationResult
Gorgias example, quieter month$60 + 0 extra tickets$60
Gorgias example, peak month$60 + (900 − 300) × $0.40$300
Gorgias example, 12 monthly subscriptions9 × $60 + 3 × $300$1,440
Freshdesk Growth annual seat base3 × $19 × 12$684
Base/projection gap before other costs$1,440 − $684$756

The annual demand is 4,500 tickets, averaging 375 a month. Putting that average through the Gorgias example would give 12 × ($60 + 75 × $0.40) = $1,080, understating this monthly profile by $360. Quiet-month unused capacity does not cancel the three peaks in this model. The Gorgias total projects monthly renewals at unchanged terms, not an annual-plan discount; Freshdesk's total is an annual-billing seat base.

Does the specialist premium earn its place?

The $756 difference is $63 per month across the year, before any necessary connector, other feature tier or implementation expense changes the comparison. At a hypothetical $30 productive-hour cost, that corresponds to 25.2 hours a year, or 2.1 hours a month. It is a labour-only break-even hurdle, not an assumed saving from Gorgias or proof that two configurations deliver the same order actions.

Use the action matrix to decide whether the generalist satisfies the brief first. If a required action needs another connector, its cost and access conditions belong in that side of the budget. If both routes meet the brief, compare their complete costs and the significance of avoiding repeated system switching. Do not credit unmeasured time savings, hypothetical sales uplift or all incoming tickets as successfully automated outcomes.

Our recommendation remains Gorgias for Shopify-centric work where the documented store actions matter. Freshdesk deserves consideration for email and self-service when the required connector is adequate; Zendesk deserves consideration when named channel and routing needs justify its wider bundle. Reprice all three if live chat, temporary agents, subscription changes or five-user access enter the brief. Use the monthly forecast worksheet and total-cost calculator to carry those changes forward, rather than reuse the fixed three-agent totals.

The ecommerce workflows to test

Use real scenarios rather than generic feature lists: “Where is my order?”, change of address, cancellation, partial refund, damaged item, subscription change and a social-media complaint. The agent should see enough identity and order information to act safely without exposing private data.

Check whether an integration only displays an order or supports actions. If actions are available, test permissions and the audit trail. A refund should be restricted to the right roles and recorded clearly. The product should also cope with a customer using a different email address from the one attached to the order.

Channels and handover

Online retailers often receive the same problem through email, chat and social messaging. The help desk should connect those interactions without merging different people incorrectly. An Instagram message may need to move to a private channel before order details are discussed.

Live chat requires staffing and an offline route. Social channels require permission management. Voice and SMS may add separate usage charges. Choose the smallest channel set that covers real behaviour and keeps history in one customer record.

Gorgias: best Shopify specialist

Gorgias connects Shopify customer profiles, order history and shipping information to support tickets. Current documentation describes actions such as refunds and cancellations from within the workspace, as well as Shopify variables for macros and rules.

Pricing is based on billable tickets. Starter costs $10 monthly for 50 tickets and three users, while Basic costs $60 for 300 tickets and adds live chat, rules and a help centre. Pro costs $360 for 2,000 tickets and allows a much larger agent allowance. Seasonal peaks and overages must be modelled.

HelpDesk: best focused route for a smaller store

HelpDesk Essential starts at $19 per user monthly on annual billing. It includes email, website chat, Messenger, SMS, ticketing, simple rules and Shopify selling features. This can be enough when the store mainly needs ownership and quick access to customer conversations.

It is less specialised than Gorgias. During the trial, reproduce the exact order lookup and action workflow rather than assuming every Shopify operation is available inside the ticket.

Freshdesk: best balanced general help desk

Freshdesk Growth combines ticketing, shared inbox, portal, knowledge base and reporting for $19 per agent monthly annually. It is a strong general service platform when ecommerce is one part of the business rather than the entire operating model.

The app connection should be tested for data freshness, action depth and permission handling. Pro adds intelligent routing and custom reporting, which may matter when retail support grows into several queues or brands.

Zendesk: best for complex multichannel retail

Zendesk Suite Team costs £45 per agent monthly on annual billing and combines the help centre, messaging, live chat, telephony and omnichannel routing. Its ecosystem can support a more complex retail stack and larger operational team.

Support Team at £15 is an email-ticketing entry point, not the complete Suite. Budget using the plan that contains the required channels and integrations.

HubSpot and Zoho Desk: ecosystem choices

HubSpot is useful when service needs marketing, sales and lifecycle context. The free tier can support a tiny team, but its advanced help desk and knowledge base sit in the $90-per-seat Professional tier with onboarding. It is strongest when the wider customer platform already earns its place.

Zoho Desk provides a three-user free edition and paid tiers with broader messaging, knowledge, automation and reporting. It is most attractive when the store uses other Zoho applications and can benefit from that connected data.

Calculate the real peak-season cost

Take the busiest month from the previous year and separate customer contacts from billable tickets or conversations according to each provider's rules. Add temporary agents, AI resolutions, social or voice usage and any integration fees. Then calculate the quieter average month.

Per-agent pricing may suit stable volumes and a small team. Ticket-volume pricing can suit a larger group of occasional users, but becomes sensitive to demand. The correct answer comes from actual order and contact data, not the lowest advertised monthly figure.

Our verdict

Gorgias is the best specialist choice for Shopify stores that will use its order context and actions. HelpDesk is a contained option for smaller shops, Freshdesk is the balanced generalist and Zendesk is the deliberate choice for multichannel complexity. HubSpot and Zoho Desk make most sense as ecosystem decisions.

Trial two materially different approaches with real ecommerce scenarios. The winner should reduce tab-switching while preserving permissions, identity checks and a complete customer history.

Frequently asked questions

Questions readers ask before choosing

What is an ecommerce help desk?

An ecommerce help desk brings customer messages into an owned queue and connects them with order, delivery, return and customer information. Specialist products can also let authorised agents perform order actions without leaving the conversation.

What is the best help desk for Shopify?

Gorgias is the strongest specialist option in this shortlist because its Shopify connection provides detailed order context and supported order actions. Smaller stores should still compare ticket-volume pricing with a focused general help desk.

Should ecommerce support software charge by agent or ticket?

Neither model is universally cheaper. Per-agent pricing rises as the team grows, while per-ticket pricing rises with customer demand and seasonal peaks. Model both using a busy month and the next realistic headcount.

Which ecommerce support channels matter most?

Start with the channels customers already use, commonly email, website chat and social messaging. Add SMS or voice only when demand justifies them, and verify that every channel preserves customer and order history.

Do Shopify integrations all support refunds and cancellations?

No integration badge establishes every action. Gorgias documents Shopify order macro actions, and the Shopify for Zendesk listing describes sidebar refunds and cancellations. Freshworks' Shopify listing establishes recent-order access but does not by itself establish equivalent refund actions. Check the specific connector, plan, permissions and order state.
