Reporting tools to compare

Check the exact plan for custom fields, scheduled exports and reports. Join help-desk and commerce data carefully; a chart is only as good as its ticket tagging and order denominator.

An ecommerce support dashboard should answer two questions: what is happening to customers now, and what should the business fix next? It should not be a league table of agents who happened to receive different types of orders. Order volume, fulfilment quality, stockouts and returns policy all influence contact, so support data alone gives a partial view.

Shopify's order reports include volume, fulfilment, shipping, delivery and returns. A help desk supplies ticket reasons, conversation times and queue ownership. Combine them at a level that matches your capacity: even a weekly export with consistent definitions can be more trustworthy than an elaborate live chart built from inconsistent tags.

Establish a reason taxonomy

Use a small set of customer-intent categories: pre-purchase, address change, order status, delivery problem, product issue, return, refund, billing and complaint. Add a separate field for the current operational stage if necessary. “Delivery problem” can then be split into before dispatch, carrier delay and delivered-but-missing without making agents choose from fifty labels.

Make the reason required at a sensible point in the workflow. Audit a sample every week for “other” and misclassified cases. Decide whether a reopened conversation is one contact or two, and whether chat plus email about the same order are joined. Document the choice so month-to-month comparisons mean something.

Use a small daily operating view

Show new contacts, unassigned tickets, open cases by age and owner, first response against your published coverage, and exception queues awaiting warehouse, carrier or refund approval. This is the view a lead can use to move work today. Keep ordinary “awaiting customer” cases separate from internal blockers; otherwise the backlog looks less actionable than it is.

Use medians or a distribution for response and resolution time rather than a single average. A few long carrier investigations can distort a mean, while a median can hide the oldest cases. Display both a typical measure and the tail: for example, the number of tickets older than the agreed review time. Review actual conversations before concluding that a fast response was useful.

Connect demand to commerce volume

Calculate contacts per hundred orders for a consistent cohort and period. Keep new orders and shipments distinct: a delivery query may arrive weeks after the purchase. Compare the same reason across similar weeks and campaigns. If orders rise while the contact rate stays flat, the absolute ticket count will still rise; that is a staffing issue, not necessarily a worse customer experience.

Use Shopify's order reports for denominator context. Its documentation warns that reports and exports can differ because of refund timing and reporting logic. Record which report and date definition you use. Never blend “tickets created this week” with “orders placed this week” and call the ratio a precise defect rate when the contact may relate to an older order.

Measure outcomes and upstream causes

For WISMO, track contacts per shipment stage, repeat contact within seven days, carrier and delivered-but-missing escalations. For returns, track time awaiting customer, parcel, inspection and refund approval; compare with actual refund completion in the commerce system. For subscriptions, use contacts per active subscriber or recurring shipment and watch requests just after billing. For marketplace orders, split by original sales channel.

Pair these numbers with quality sampling. Did the agent identify the right order? Was the customer told a confirmed action, not an assumed one? Did an automation close a case after a tracking link while the customer still had a missing parcel? The sample explains patterns a dashboard cannot.

Check the reporting capability before buying

Freshdesk documents curated and custom analytics; its support article says creating a new custom report is available from Pro upward. Zendesk Explore can use custom ticket fields, subject to plan and reporting access. A product card's entry price is therefore not proof that the desired report is included. In a trial, create the exact reason fields and export the weekly view you want. Test role access, data freshness and whether changes to ticket fields affect history.

Start with a weekly review and one action owner per insight. If WISMO contacts rise after dispatch, investigate tracking and carrier events. If returns linger after inspection, fix approval handoffs. The best support report is the one that changes a real process and can still be trusted next month.

Frequently asked questions

Questions readers ask before choosing

What is a useful ecommerce support contact rate?

Start with contacts per hundred orders for a consistent period, then split by reason, channel and fulfilment type. The number is most useful as your own trend with a clearly defined denominator, not a universal target.

Is first response time enough to judge the team?

No. Pair it with backlog age, repeat contacts, time to resolve exceptions and a sample of customer outcomes. A fast acknowledgement can coexist with an unresolved return or missing parcel.

How should WISMO tickets be reported?

Track WISMO contacts per order by fulfilment stage and carrier, then monitor repeat contacts and human escalations. A fall in tickets is not proof of success if tracking is hidden or customers remain stuck.

Can Shopify and help-desk reports be compared directly?

Yes, but define the time window, order cohort, refund timing and duplicate ticket rules. Shopify notes that order and sales reports can differ because of timing and reporting logic.
